Service Delivery, Timelines & Client Responsibilities

By purchasing any sourcing, product development, sampling, or production management service through The Cultivar Lab, the client acknowledges and agrees to the following service timeline terms.

1) Sourcing Delivery Window

Sourcing services are typically completed within 3–5 business days from the date all required project details, references, and payment are received.

This timeline includes supplier outreach, category research, pricing collection, MOQ review, and curated factory or vendor recommendations.

2) Product Development Timelines

Product development timelines vary based on the scope, complexity, and technical readiness of the project.

A project-specific timeline will be confirmed prior to the sampling phase after review of all submitted files, references, technical requirements, and development goals.

3) Sampling & Production Timeline

Projects involving sample development and production management are quoted within a 3-month service period, provided all required approvals, files, and feedback are submitted correctly and on time.

This timeline assumes:

• approved tech packs

• complete measurements

• accurate artwork and trim files

• timely fit comments

• prompt approvals

• clear communication from all parties

Errors in technical files, incomplete submissions, or late-stage revisions may delay the process.

4) Client Responsiveness

The client agrees to maintain timely communication throughout the duration of the project.

Timely communication includes:

• reviewing sample updates

• approving revisions

• submitting fit comments

• confirming measurements

• approving materials and trims

• providing revised files when requested

• responding to time-sensitive manufacturer questions

Delayed communication from the client may result in:

• missed factory production windows

• delayed sampling rounds

• increased revision cycles

• postponed production timelines

• additional management requirements

If the client’s delayed responses, incorrect submissions, or failure to provide timely approvals cause the project to exceed the quoted 3-month service term, additional continuation or project extension fees may apply.

5) Project Extension Fees

Any project extending beyond the original quoted timeline due to client-caused delays may be subject to additional fees for continued supplier communication, file revisions, sample management, and production oversight.

These fees will be communicated before additional work continues.

6) Manufacturer Delays

The Cultivar Lab is not responsible for delays caused by manufacturers, suppliers, shipping carriers, factory holidays, material shortages, or increased seasonal demand.

This includes, but is not limited to:

• factory closures

• holiday shutdowns

• Lunar New Year

• Golden Week

• raw material shortages

• customs delays

• production backlog

Clients will not be charged additional fees solely for manufacturer-caused delays, and we will continue to communicate updates and advocate on your behalf.

Because of the time, expertise, research, and proprietary supplier relationships involved, all purchases are final.

All service-based purchases, including but not limited to:

• Brand development strategy

are non-refundable once purchased.

Our services begin with immediate allocation of research time, sourcing expertise, and supplier relationship access, which makes refunds unavailable.

Digital Downloads

All digital products, downloadable PDFs, supplier lists, sourcing guides, templates, and educational resources are also non-refundable.

Due to the instant-access nature of digital downloads, we do not offer refunds, returns, or exchanges after purchase.
